EXECUTIVE ROLES

Greatness is a result from a deliberate effort made by those involved; it is not a naturally occurring event that takes place without the involvement of people who care. We care about our industry and our members being respected, valued, and paid accordingly for the work they do. This is at the core our of our Executives’ responsibilities to its members and the community.

Join the Board

Executive Members are chosen by a vote of the members at the Annual General Meeting. If a member meets the position qualifications and is nominated by at least one other member, they can run for the position. All Executive Members have a vote at Executive meetings except the President.

Roles have 2 year terms with a maximum 2 terms, except Members at Large and Student Liaison (1 year term). If a new position is required or a position becomes vacant during the year, the President will, upon consultation with the Executive Members, appoint someone to act in that position until the next AGM.

General Expectations of Executive Members

Executive Members of DIDAA are expected to:

  • Be a graduate or student of RICP or other program approved by the Association.
  • Be well informed on issues of concern and importance to the interior decorating and design community.
  • Represent the interests of all other DIDAA members when dealing with trades people, sales representatives and others in the interior decorating and design community.
  • Act professionally in accordance with the Value Statement of DIDAA

BOARD POSITION INFORMATION

President


  • Must have served at least one term in a Director position (minimum two years served) prior to nomination for President.

  • Professionally involved in the design community

  • Acts as the Chief Executive Officer

  • Presides over all Executive Board meetings and AGM. In his/her absence, the Vice-President shall preside at any such meetings.  In the absence of both, a chairperson may be elected at the meeting to preside.

  • Does not vote at Executive meetings

  • Signing officer

  • Must be politically non-partisan in any dealings on behalf of the Association

  • Prepares agenda for Executive Board meetings and AGM

  • Reviews and updates the President position description and position guide on an annual basis. 

  • Other activities  May sit on sub-committees

  • Term: 2 years

Vice-President

  • Attends Executive Board meetings

  • Though the position of vice–president naturally leads to the position of president it is not compulsory, only voluntary.

  • Sits as chair of Executive Board meetings in the absence of the President. In the absence of both, a chairperson may be elected at the meeting to preside.

  • Professionally involved in the design community

  • Acts as Executive Liaison to all subcommittees and may plan or organize activities that contribute to the public image of the DIDAA

  • Works closely with other committees to ensure full involvement by members

  • Signing officer

  • Responsible for documenting action items from each Executive Board meeting and distributing to Board members within 5 days of the meeting

  • Maintains Association logins, passwords and other digital access

  • Reviews and updates the Vice President position description and position guide on an annual basis.

  • Other activities  May sit on sub-committees

  • Term: 2 years

Treasurer

  • Attends Executive Board meetings

  • Official signing officer along with president and vice president (2 signatures)

  • Disburses funds upon receipt of statements

  • Obtains Board approval on any expenses over $1,000.00

  • Maintains accurate records of accounts and submits up to date statements at every executive meeting

  • Ensures proper records of financial transactions are available for the auditors

  • Ensures a chartered accountant does the annual audit and all taxes are paid when due

  • Responsible for annual filing of Non-Profit Annual Return and notice of charges to Alberta Registries

  • Updates By-laws as needed

  • Manages and maintains association website

  • Prepares an annual written report for the AGM.

  • Reviews and updates the Treasurer position description and position guide on an annual basis.

  • Other activities  May sit on sub-committees

  • Term: 2 years

Secretary

  • Attends all Executive Board meetings

  • Keeps minutes of all proceedings as well as keeping record of all votes while ensuring minutes are distributed to Board members within 5 days of the meeting

  • Is custodian and responsible for the safekeeping of all minutes of Executive meetings and Annual General Meeting

  • Utilizes Google Docs and Google Drive for record keeping

  • Reviews and updates the Secretary position description and position guide on an annual basis.

  • Other activities  May sit on sub-committees

  • Term: 2 years

Member Relations

  • Attends Executive Board meetings and prepares a written report for distribution at the meeting.

  • Takes a leadership role to recruit new members and ensures that they remain
 interested and renew memberships

  • May speak in public about DIDAA and the advantages of becoming a member

  • Assist association with creating opportunities to promote our memberships

  • Ensures automated communications are reviewed and updated on a semi-annual basis

  • Coordinates with communications and social media to ensure new members are being “followed” on Instagram and that they are highlighted on social media.

  • Coordinates with Preferred Suppliers for Product Knowledge sessions and inputs event information into Wild Apricot for Communications to review and send out to members.

  • Prepares an annual written report for the AGM.

  • Reviews and updates the Member Relations position description and position guide on an annual basis.

  • Other activities  May sit on sub-committees

  • Term: 2 years

Communications

  • Attends Executive Board meetings and prepares a written report for distribution at the meeting.

  • Creates and distributes the quarterly DIDAA Newsletter

  • Creates and distributes all event communications in coordination with Events and Member Relations

  • Coordinates with Social Media, Events, Student Liaison and Member Relations to create a content strategy and schedule that is inclusive of Association news, Member features, etc

  • Administrator for the Facebook public and private member pages and maintains access to the Instagram account

  • Prepares an annual written report for the AGM.

  • Reviews and updates the Communications position description and position guide on an annual basis.

  • Other activities  May sit on sub-committees

  • Term: 2 years

Social Media

  • Attends Executive Board meetings and prepares a written report for distribution at the meeting.

  • Works closely with Events and Member Relations for content creation

  • Coordinates with Communications to create a content strategy and schedule that is inclusive of Association news, Member features, etc. 

  • Connects with members to receive content to share on Social Media.

  • Prepares an annual written report for the AGM.

  • Is responsible for creating and posting regular content to the social media platforms; Facebook, Instagram, etc

  • Maintains and updates all DIDAA social media platforms (Facebook and Instagram) and is responsible for responding to all Direct / Private messages

  • Administrator for the Facebook public and private member pages

  • Ensures there is a board member responsible for creating content at each event, if unable to attend themselves

  • Reviews and updates the Social Media position description and position guide on an annual basis

  • Other activities  May sit on sub-committees

  • Term: 2 years

Events

  • Attends Executive Board meetings and prepares a written report for distribution at the meeting.

  • Responsible for scheduling, organizing and overseeing all of the DIDAA educational events, seminars, and other special events, in collaboration with Communications and Member Relations, as well as Members at Large

  • Provides Communications with event all event information to be inputted into Wild Apricot

  • Coordinates with Member Relations to assist with organizing Product Knowledge events hosted by Preferred Suppliers

  • Responsible for DIDAA signage, name tags and other event materials

  • Keep calendar of events updated in coordination with Communications

  • Keep track of attendance and registrations for events in conjunction with the assigned Event Liaison

  • Prepares an annual written report for the AGM

  • Reviews and updates the Events position description and position guide on an annual basis

  • Other activities  May sit on sub-committees

  • Term: 2 years


Student Liaison

  • Attends Executive Board meetings and prepares a written report for distribution at the meeting.

  • Is currently enrolled in or is a graduate of a program approved by the Association

  • Informs students enrolled in approved programs about the Association and the benefits of membership

  • Brings information on student or school events to the attention of the Board, organizes Board member attendance at school events, etc., shares association events, speaks to classes, etc.

  • Responsible for ensuring students at events are greeted and engaged

  • Prepares an annual written report for the AGM

  • Reviews and updates the Student Liaison position description and position guide on an annual basis

  • Other activities  May sit on sub-committees

  • Term: 2 years

Member(s) at Large

  • Assists the President and other directors in the completion of special projects initiated by the Executive Committee.

  • Acts as the Event Liaison (and as event co-host for virtual events), on a rotating basis, where they ensure the venue is set up with Association signage, that members are checked in accordingly and distributes and collects name tags for use at events.

  • Helps plan monthly socials (May - October)

  • May act for any member of the Executive when asked by the President

  • May coordinate ventures with other organizations in the interior decorating and design community

  • Other activities  May sit on sub-committees

  • Term: 1 year
